The documentation required differs depending on which stage the project is at. Some documents belong to the tender itself, some are collected before installation begins, and some are only produced once the playground is finished and in use.
Before the tender: what the specification should request
Before a tender is published, the technical specification should clearly state which documentation bidders will be required to submit. This sets expectations early and prevents suppliers from treating documentation as an afterthought. The specification should explicitly request third-party certificates issued by a body accredited under EN ISO/IEC 17065.
Before installation: what to collect before equipment arrives
Before equipment and surfacing arrive on site, a city should have received: certificates of conformity issued by an independent certification body accredited under EN ISO/IEC 17065, confirming the proposed equipment was designed and tested to EN 1176 and that the surfacing meets EN 1177 requirements; relevant test reports supporting those certificates; and technical data sheets describing dimensions, materials, critical fall heights and other specifications in enough detail to verify the equipment against the tender specification.
After installation: what to collect once the work is complete
Once equipment is installed, the documentation set should be completed with: installation records confirming the work was carried out according to the design, including any deviations; an inspection and maintenance plan setting out what routine checks the equipment requires; warranty documentation clearly stating what is covered, for how long, and what would void the warranty; and as-built drawings or site plans, where relevant.
Ongoing: what to maintain throughout the equipment's working life
Documentation is not a one-off event. Inspection records, maintenance logs and any incident reports should be kept throughout the playground's working life, since ongoing safety management depends on them, and they form part of the evidence trail if a playground's history is ever reviewed.
